Vic.ai Feedback

Teach Vic future coding with Invoice Feedback

Written by Ryan Goetz

Overview

Feedback lets you teach Vic.ai how your team handles a vendor's invoices. From the invoice side drawer, tell Vic.ai how an invoice should be coded or processed, and Vic.ai applies that feedback to future invoices for that vendor. You can also ask Vic.ai questions about the vendor or the invoice in the same chat.

Finding Vic Feedback

How to open chat on an invoice

  1. On the Invoices tab, select an open invoice to bring up the invoice drawer.

  2. Select Feedback.

How to give Vic feedback on coding or processing

  1. Open chat on the invoice.

  2. Tell Vic what should change and why. For example: “Freight from this vendor always codes to GL 5200, not 6100.”

  3. Vic applies your feedback to future invoices from the same vendor.

What Feedback supports

  • Invoice header fields: invoice date, due date, reference number, payment terms, PO number, and document type.

  • Line coding: GL/cost accounts and dimensions, such as department, class, or project.

  • Line items: descriptions, quantities, unit prices, amounts, PO numbers and line types, including splitting or restructuring lines.

How Vic checks feedback

Vic tests feedback against the last 3–5 previously posted invoices from this vendor. At least 3 posted invoices are required, and no targeted field’s accuracy may decrease. These invoices are used only for testing and are unchanged.

Bypass: Vic may propose bypassing the default check when previous invoices are clearly wrong or there is too little history. You can also ask to bypass. With your confirmation, Vic checks the feedback against the current invoice’s saved values instead. This check can still fail; wait for Vic to confirm acceptance.

Accepted feedback applies to future invoices.

Invoices currently do not show an indicator when a prediction uses saved feedback. Open Chat > Vic and ask what feedback is active for this vendor and how it relates to the invoice.

Review, update, or remove feedback for a vendor

By default, feedback is saved for the vendor in your company. In invoice chat, ask “Show this vendor’s saved feedback.” Tell Vic what to add or replace, or ask it to remove the rule and confirm when prompted. Updates are checked again.

Ask Vic about a vendor or invoice

  1. Open chat on the invoice.

  2. Type your question. For example: "How has this vendor usually been coded?" or "Why was this line coded to this account?"

Examples of good feedback

  • “Set the due date to 30 days after the invoice date.”

  • “Use delivery number as the reference number”

  • “Use the ship-to location as the Department dimension for expense lines.”

  • “Use the net (discounted) unit price for each line. Keep the line totals unchanged.”

Examples to avoid

“Fix the coding” does not name a field or rule. “Use INV-123 for every invoice” repeats a one-off value instead of a reusable pattern.

What Feedback doesn’t cover yet

In this chat feedback flow, tax codes and custom invoice or line fields are not supported.

Tips for success

  • Name the rule, not just the value. “Software subscriptions from this vendor go to 6450” is more useful than “wrong account.”

  • Focus on vendors you see often. Feedback has the most impact on vendors you invoice regularly.

  • Keep reviewing. Feedback improves future invoices, but you can still review and change any value before an invoice is processed.

Frequently asked questions

Does my feedback apply to all vendors?

No. Feedback is applied to future invoices from the same vendor.

Can I ask Vic questions without giving feedback?

Yes. You can use chat to ask about the vendor or the invoice at any time.

Do I still need to review invoices?

Yes. Feedback helps Vic.ai handle future invoices better from this vendor, and your normal review process stays the same.

How do I enable Vic Feedback?
