Initiating & Reassigning PO Mismatch Flows

When an invoice is out of tolerance to a PO, learn how to initiate the PO Mismatch Flow

Overview

When a PO mismatch requires approval, the approver is determined by your company's Mismatch Approval Flows. In most cases, that works seamlessly — but when the assigned approver is unavailable, the only way to unblock the invoice was to edit the flow itself.

Accountants can reassign the approver on a specific PO mismatch approval flow after it has started - necessary if an approver is OOO or otherwise unavailable. The reassignment is scoped to that invoice only and does not change the underlying approval flow. Every change is recorded in the approval history log.


Initiating a PO Mismatch Flow

When you have a PO-backed invoice with a Rule Violated (tip: filter for PO Mismatch statuses!):

  1. Click Get Approval

    1. See designated approval flow

  2. (Optional) Add a comment

  3. Click Start Approval


Reassign a PO mismatch approver

After an approval has started as an accountant:

  1. Open the invoice with the PO mismatch.

  2. Find the step to reassign

  3. Click the edit icon next to the approver's name.

  4. Search for and select a new approver from the dropdown. Only users with the PO Mismatch Approver role in this company will appear.

  5. Confirm the selection. The reassignment is saved and logged in the approval history.

Every reassignment is recorded in the invoice's approval history log, including:

  • The original approver

  • The new approver

  • Who made the change

  • When the change was made
